Basic Catalogs - Oracle Fusion Applications

Basic Catalogs

Basic catalogs are the item Categories which are to be defined in the instance. These categories can be assigned to procurement catalogs Items Etc.
To Create Basic catalogs, once must navigate to FSM to the below Task List.

Define Basic Catalog Task List



In order to create Categories, User should be assigned with a role called ‘Procurement Application Administrator’. As buyers create the categories in general, this role should be assigned to the buyer.

Task List: Define Basic Catalogs

Tasks present in the Task list are:
  •          Manage Product Value Sets
  •          Manage Key Flexfield for Catalog
  •          Manage Catalog descriptive Flexfield
  •          Manage Category Descriptive Flexfields
  •          Create Catalog
  •          Manage Catalogs

Manage product Value Sets

As categories are key Flexfields, we may require value sets. Users can define value sets here.  
User need to create Value set with appropriate validation type. There will be a requirement to provide Module Name while creating Value Set. User need to provide “Product Model Common” (for Item Category usage). This module represents the Items/Products related activity.  

Creating Value Sets

Navigation: Implementation Project >> Procurement >> Define Common Procurement Configuration >> Define Basic Catalogs >> Manage Product Value Sets (click on Create icon)

Specify the necessary details and click on Save.



Once Save button is clicked, “Manage Values” button will be enabled. Click on Manage Values to specify the values for the value set. Click on Create icon to add values in the set.


Manage key Flexfield for catalog

This is where flex field structures are defined. Product Model is the relevant application. User needs to click on Manage Structures and create a new structure.

Defining a key Flexfield structure in Fusion is a three step Procedure.

Step 1: Manage Structures

Once user defines a structure, he will be routed to Define Segment.

A structure comprises of number of segments which are defined here. While creating a Segment, User will have an option to provide Default Value Set. Here user shall provide the created Value Set, thus associating it with the segment.

An illustration of the creation of Item Category Structure is given below:

(Optional, only before assigning a default structure for the functional area and performing transactions)

Navigation: Implementation Project >> Procurement >> Define Common Procurement Configuration >> Define Basic Catalogs > Manage Key Flexfield for Catalogs


Click on Manage structures button and then on Create icon.

Provide all the necessary data like Structure Code, Name, etc and click on Save to define segments under the Structure.

An illustration of segments definition under KFF structure is given below:


Provide the date for Segment definition as shown below



API Name is generated automatically.

Once all the segments are defined, the following screen can be seen


Click on Save and Close.

Step 2: Manage Structure Instances

User needs to create a structure instance after creating a structure.

While defining structure instance, user will have a provision to associate the structure (definition mentioned in the above step with the Structure Instance.


Segments in the structure will default including the value Set.

Step 3: Deploy Flexfield

Once the structure instance definition is completed, it should be deployed. Without deploying a Flexfield, we cannot use it for transaction.

Once the flexfield is deployed, a category structure definition is complete.

Create Catalog

Catalog (Category Set) Definition
This is creation of category sets.

Navigation: Implementation Project >> Procurement >> Define Common Procurement Configuration >> Define Basic Catalogs >> Create Catalog

Provide Catalog Name and description. Image can also be set to the categories.

Catalog Code: Provide the category Set Name.
Catalog Structure: Associate the catalog structure which is defined.
Controlled At: Select Master level (Recommended)
Default Category: Can specify the default category for the catalog.
Catalog Content: should be set to ‘items at Leaf Level’ for procurement usage.

While defining a Catalog, make sure of the following in case it has to be used in Purchasing Transactions:
a.       Catalog Content to be set to “Items at Leaf Level”
b.      Unchecked “Allow Multiple Item Category Assignment”
c.       Unchecked “Enable hierarchies for Categories”
d.      Unchecked “Enable Automatic Assignment of Categories”


Click on Save and Close

Manage Catalogs

Through Manage catalogs, categories can be defined under the category set (Catalog).

All the catalogs defined will appear in Manage catalogs. Open the category set, navigate to ‘Category Hierarchy’ tab, and click on Actions menu and select option Create Category.

Create a new category thus establishing a hierarchy.

Categories can also be uploaded using spread sheets.

Task Name: Manage Catalogs

Navigation: Implementation Project >> Procurement >> Define Common Procurement Configuration >> Define Basic Catalogs >> Manage Catalogs






Uploading Categories through Spread sheet
Open the catalog hierarchy and click on Edit in spread sheet. This will download a template where you can enter the catalogs.
